For students to call directly (free, 24/7)
1. Medical Emergency
If a student requires urgent medical attention:
- 1Call 999 immediately if the situation is life-threatening.
- 2Stay with the student at all times. Do not leave them alone.
- 3Administer first aid only if you are trained to do so. Do not give any medication without a signed medical consent form.
- 4Call Language Travel UK's emergency line to notify us as soon as it is safe to do so.
- 5Contact the student's parent/guardian or emergency contact. For school group students, notify the group leader first.
- 6Complete an incident report form and submit it to Language Travel UK within 24 hours.
2. Fire
All host properties must have a written fire evacuation plan, displayed in a visible location. In the event of fire:
- 1Alert all occupants immediately and evacuate the building. Do not stop to collect belongings.
- 2Close doors behind you to slow the spread of fire.
- 3Call 999. Confirm the full address.
- 4Assemble at the pre-agreed meeting point and account for all persons.
- 5Do not re-enter the building under any circumstances until the fire service declares it safe.
- 6Notify Language Travel UK immediately after calling 999.
3. Missing Student
If a student is unaccounted for and their whereabouts are unknown:
- 1Attempt to contact the student by phone. Try all known numbers.
- 2Check with peers (school group) or other known contacts.
- 3If the student cannot be located within 30 minutes of their expected return, call 101 (non-emergency police) to report a missing person and call 999 if you believe they are in immediate danger.
- 4Notify Language Travel UK immediately.
- 5Notify the parent/guardian or school group leader.
- 6Do not post about the missing student on social media.
4. Safeguarding Disclosure
If a student discloses abuse (past or present) or you witness or suspect abuse or neglect:
- 1Listen calmly, without expressing shock or disbelief. Do not ask leading questions.
- 2Reassure the student they have done the right thing by telling you.
- 3Do not promise confidentiality — explain you have a duty to share the information with those who can help.
- 4Record exactly what was said, using the student's own words, as soon as possible.
- 5Report to Language Travel UK's DSL immediately — do not investigate yourself.
- 6If there is an immediate risk of harm, call 999 first.
5. Mental Health Crisis
If a student appears to be in significant mental distress, expresses thoughts of self-harm or suicide, or is exhibiting behaviour that gives serious cause for concern:
- 1Stay with the student. Do not leave them alone.
- 2Listen without judgement. Keep them calm and talking.
- 3If there is immediate risk to life, call 999.
- 4Call 111 for urgent mental health support if not life-threatening.
- 5Notify Language Travel UK and the student's emergency contact immediately.
- 6Remove access to any potential means of self-harm if you can do so safely.
6. Incident Reporting
All incidents — however minor — must be reported to Language Travel UK within 24 hours. An incident includes any accident, illness, near-miss, safeguarding concern, or welfare issue involving a student.
Reports should be submitted to admin@languagetravel.co.uk with the following information:
- Date, time, and location of the incident
- Name(s) of those involved
- What happened (factual, objective account)
- Actions taken and by whom
- Whether emergency services or parents were contacted
