Guest Agreement
Last updated: March 2026. This agreement applies to all guests (including parents, guardians, and school group leaders booking on behalf of students) using the Language Travel UK platform.
1. Introduction
By making a booking on the Language Travel UK platform, you ("the Guest") agree to the terms of this Guest Agreement. If you are booking on behalf of a minor or a school group, you accept personal legal responsibility for ensuring all students comply with this agreement.
2. Respect for the Host Home
Guests are entering a private family home and must conduct themselves accordingly at all times. Guests must:
- Treat the host, their family, and their property with courtesy and respect
- Keep their bedroom and any shared spaces clean and tidy
- Comply with quiet hours and curfew times set by the host
- Not bring additional guests into the host home without prior written permission
- Not smoke, vape, or use recreational drugs on the host's premises
- Not consume alcohol if under 18, and drink responsibly if of legal age
3. House Rules
Each host may have specific house rules communicated on or before arrival. These may include rules about kitchen use, laundry, noise levels, and shared spaces. Guests are expected to follow these rules for the duration of their stay.
If you feel a house rule is unreasonable or discriminatory, please contact Language Travel UK immediately rather than ignoring it.
4. Behaviour Expectations
The following behaviours are grounds for immediate termination of your stay without refund:
- Physical or verbal abuse towards the host or members of their household
- Theft or deliberate damage to property
- Possession or use of illegal substances
- Bringing unauthorised persons into the host home
- Persistent and wilful breach of agreed house rules after a written warning
In such cases, Language Travel UK will attempt to find alternative accommodation but cannot guarantee availability or issue a refund.
5. Damage & Loss
Guests are responsible for any damage caused to the host's property during their stay. If damage occurs, guests must notify Language Travel UK within 24 hours. The cost of repair or replacement (up to the depreciated value of the item) may be charged to the guest.
Language Travel UK is not responsible for any loss or theft of guest belongings during a stay. Guests should ensure they hold appropriate personal travel or contents insurance.
6. Payment & Cancellation
Full payment is required at the time of booking. Prices include the Language Travel UK service fee and are displayed in GBP.
Cancellation by guest:
- More than 28 days before arrival: full refund minus the platform service fee
- 8–28 days before arrival: 50% refund of the accommodation cost only
- 7 days or fewer before arrival: no refund
Cancellation requests must be submitted in writing to admin@languagetravel.co.uk. The booking date, not the date of the email, determines the applicable policy.
We strongly recommend all guests purchase travel insurance that includes cancellation cover.
7. Bookings Involving Minors
Where a booking involves a student under 18, the parent or legal guardian who completes the booking accepts full responsibility for the student's conduct, welfare outside the host home, and compliance with this agreement.
For school group bookings, the group leader or teacher of record assumes the same responsibilities for all students in the group.
8. Communication
Prior to booking confirmation, all communication with Hosts must take place through the Language Travel UK messaging system. Attempting to share personal contact details (phone numbers, personal email addresses, social media) before a booking is confirmed is a breach of platform rules and may result in the message being filtered or the account being suspended.
After booking confirmation, you will receive the Host's contact details to coordinate arrival logistics.
9. Travel & Insurance
Guests are responsible for arranging their own travel to and from the UK, including visas, travel documentation, and travel insurance. Language Travel UK is not responsible for any costs arising from travel disruption, missed connections, or visa refusals.
Airport and station transfer services are available as an optional add-on and must be booked in advance through the platform.
10. Liability Disclaimer
Language Travel UK is an introduction and facilitation platform. We are not the host and are not present during your stay. We accept no liability for:
- Personal injury sustained during a stay
- Loss or theft of personal belongings
- Any act or omission by the host
- Interruptions to the stay caused by events outside our reasonable control (force majeure)
Our total liability for any claim related to a booking shall not exceed the value of that booking.
11. Governing Law
This agreement is governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
